Running late texts for salons and clinics: 13 messages to send

The schedule has slipped, the client in the chair is still mid service, and the next one is already in the parking lot. How you tell people shapes whether they come back. These 13 messages cover both directions: you are behind (ten minutes, thirty minutes, an urgent cancellation, a waiting room update) and the client is running late (still fine, the grace period, too late for the full service). The clinic group names no procedure and suits medical and dental offices; the rest are written for salons, barbers, lash and nail studios and spas. Copy any message, or add all 13 to your keyboard and send them from iMessage, WhatsApp, Instagram or any other app in one tap.

Words in {{double braces}} are blanks. In the textcuts keyboard you fill them with one tap, and the names you used recently come back.

You are running behind

Ten minutes behind

Essential
Quick heads up, {{name}}: I'm running about ten minutes behind. Feel free to come ten minutes after your booked time. Sorry for the wait.

When to send: As soon as you know you will fall a little behind, ideally 30 minutes before the appointment.

Why it works: A short delay with a clear instruction, so they do not have to ask what to do.

Thirty minutes behind, two options

Essential
{{name}}, I'm running 30 minutes behind because the visit before yours took longer than planned. Would you rather come later today, or move to another day? Either works for me, and your spot is held until you answer.

When to send: When the delay is long enough that waiting in the shop would be a real cost to them.

Why it works: It gives them a choice, which turns an apology into a decision they control.

New start time

Pro
Good morning {{name}}. I'm running behind and can't start until {{time}}. Does that still work for you? If it doesn't, tell me and I'll find the next opening that does.

When to send: Early in the day, when you can already see the schedule slipping.

Why it works: One exact time beats a vague "a bit late", and the yes or no question is easy to answer.

They are already here

Thanks for being here, {{name}}. I'm finishing with someone else and need about 15 more minutes. Please sit anywhere you like, and help yourself to water or coffee by the front desk.

When to send: When the client has arrived and you are still with the previous person.

Why it works: It acknowledges the wait before they start to wonder, and gives them something to do.

Something urgent came up

{{name}}, something urgent has come up and I can't see anyone this afternoon. I'm very sorry. I'll send you the first openings I have this week in a moment, and you can pick whichever suits you.

When to send: When you have to cancel your own appointments on short notice.

Why it works: It takes responsibility without a long story, and puts the next step in your hands, not theirs.

Apology with a little something

Sorry again for the wait earlier, {{name}}. I know your time matters. On your next visit I'd like to add a brow tidy, a little something from me.

When to send: The same day, after a long wait.

Why it works: A specific gesture feels more sincere than another sorry. Only offer what you will really give.

Clinics and waiting rooms

Waiting room update

Essential
Hello {{name}}, we're running about 20 minutes behind today. You're welcome to wait in reception, or step out and we'll text you the moment we're ready. Thank you for understanding.

When to send: In a clinic or dental office, when the schedule runs over.

Why it works: It says nothing about why or what is being done, only the wait, which is all the text needs.

We are ready for you

Thanks for waiting, {{name}}. We're ready for you now, so come on in whenever you get back.

When to send: When you texted a wait and you are now free.

Why it works: It closes the loop, so they are never guessing whether it is time.

The client is running late

They say they are late, still fine

Essential
Thanks for telling me, {{name}}. I can still start ten minutes after your booked time. Past that I'd have to shorten the service so the next client isn't kept waiting.

When to send: When a client texts that they are stuck in traffic or on their way.

Why it works: It sets a clear limit while being kind, and tells them exactly what to expect.

Grace period reminder

Essential
Hi {{name}}, a friendly reminder of our late policy: your spot is held for 15 minutes after the start time. After that I may need to reschedule, out of fairness to the next client. Where are you now?

When to send: When a client is already late, or when they have been late before.

Why it works: The policy is stated as a fact, and the question at the end keeps the conversation going.

Too late for the full service

EssentialPro
Thanks for letting me know, {{name}}. If you arrive after the grace period I can't fit the full service in today. I can do a shorter version, or move you to {{day}}. Which would you prefer?

When to send: When they will arrive well past the grace period.

Why it works: Two real options protect your next booking without sending them home empty handed.

They have not arrived

{{name}}, your appointment started a few minutes ago and I haven't seen you yet. Are you on your way? Tell me what's happening and we'll work out what we can do.

When to send: About ten minutes after the start time, if you have heard nothing.

Why it works: It checks in before it enforces anything. Many late clients just forgot to text.

Drive safe

Thanks for the heads up, {{name}}. Drive safely and don't rush, it's not worth it. We'll sort out the timing when you get here.

When to send: Right after a client warns you they are running late.

Why it works: It lowers their stress and keeps the visit friendly from the moment they walk in.

Do not say

  • Naming the service or reason for a clinic visit in a delay text, such as "your root canal is delayed".

Instead: Say only that you are running behind and give the wait.

    Source

  • Blaming the client for being late before, in the same message as your own apology.

Instead: Apologize first. Raise lateness policy separately, later.

  • Promising a new time you cannot keep ("I'll be ready in 5 minutes").

Instead: Give a range you are sure of, and update them if it changes.

  • Staying silent and hoping they will not notice the wait.

Instead: Send the text when you know, even if you do not yet know the exact time.

  • Charging a late fee the client never saw in your booking policy.

Instead: State the grace period when they book, and only then point to it.

  • Sending a long explanation of your own bad day.

Instead: One sentence on why at most, then the new plan.

  • Offering a gift or discount you do not plan to give.

Instead: Offer a small, real gesture, or none at all.

Frequently asked questions

How soon should I tell a client I'm running late?

As soon as you know, and ideally 30 minutes or more before their start time. A client who learns of a delay at home can adjust. One who finds out in your waiting room has already lost the time.

What is a fair grace period for late clients?

Many salons and studios hold the spot for 10 to 15 minutes, then shorten the service or rebook. Choose a number that protects your next client, write it into your booking policy, and mention it in your confirmation so the late message is a reminder and not a surprise.

What should a clinic text say when the schedule runs behind?

Only the wait and the choices: stay, step out, or reschedule. Leave out the procedure, the provider's specialty and any health detail. The HHS guidance on appointment reminders allows reminders without written authorization, and keeping texts to the minimum is a good habit even for a salon.

Can I send these in WhatsApp, iMessage and Instagram?

Yes. textcuts is a keyboard, so the messages work in every app where you type, and you send each one yourself from your own phone.

Do these templates work on the free plan?

Yes. 11 of the 13 use a single blank, which fills in on the free plan. The new start time and too late for the full service messages use two blanks and need Pro to fill both from the keyboard. Free holds 8 textcuts and 1 folder, and imports are never blocked.
