Appointment confirmation texts: 13 templates for salons and clinics

A client books, and for the next few minutes you have their full attention. That is the moment to confirm the time, say where you are and mention your policy once, calmly, before anything goes wrong. These 13 messages cover barbers and stylists, nail and lash techs, first visits, and clinics where the text should say as little as possible: for a clinic or dental office, write your appointment and your visit, never the procedure. Salons can name the service. Copy any message, or add all 13 to your keyboard and send them from iMessage, WhatsApp, Instagram or any other app in one tap.

Words in {{double braces}} are blanks. In the textcuts keyboard you fill them with one tap, and the names you used recently come back.

Salons and barbers

Booked, short and warm

Essential
Thanks, {{name}}, you're booked. I have you down and I'll send a reminder closer to the day. If you need to move it, just text me here.

When to send: Right after the client books, by text, DM or phone.

Why it works: It confirms the booking in plain words and tells them how to reach you.

Time and arrival

Essential
You're confirmed for {{time}}. If the door is locked, text me when you're outside and I'll let you in. Your chair will be ready.

When to send: Same day as the booking, or the day before for a busy week.

Why it works: One clear time and one clear instruction, nothing to scroll past.

Holding the slot

All set for {{day}}. I'm saving that slot just for you, so if plans change, tell me as early as you can and I'll offer it to someone on my list.

When to send: When the slot is in demand and you keep a waiting list.

Why it works: It explains why early notice matters without scolding anyone.

Barber with a photo request

Your cut is booked, {{name}}. Bring a photo of the style you want if you have one. Doors open ten minutes early, so come in and grab a coffee.

When to send: For new or irregular barbershop clients.

Why it works: The photo request saves time in the chair and makes the visit feel planned.

Deposit received

Essential
Got your deposit, {{name}}, thank you. It comes off your total on the day. If you need to move your time, let me know before the cancellation window in the policy I sent.

When to send: As soon as a deposit lands for a long or high demand service.

Why it works: It closes the loop on the money and points back to a policy they already saw.

Policy line in the confirmation

Essential
Hi {{name}}, you're booked. As a reminder from when you booked: changes are fine up to 24 hours before, and a later change or a missed visit may forfeit your deposit. Reply here to move it.

When to send: With every confirmation if you take deposits. Edit the hours to match your own policy.

Why it works: A fee only feels fair when the client has seen it twice, and this is the second time.

Nails, lashes and first visits

First visit, parking and door

Your first visit is booked. We're at {{address}}. If parking looks tight, text me and I'll point you to the easiest spot. Come in and I'll meet you at the desk.

When to send: The same day a new client books.

Why it works: New clients worry about finding you more than anything else.

Lash appointment prep

Essential
{{name}}, your lash appointment is confirmed. Please come with clean eyes, no mascara or eye makeup, and set aside about two hours so we're never rushing.

When to send: For lash sets and fills. Change the length to match your service.

Why it works: It covers prep and time in one message, so the appointment starts on time.

Nails, what to bring

You're booked for {{day}}. If you're wearing gel or extensions from somewhere else, tell me when you arrive so I can plan the time. Bring the photo you love and I'll match it.

When to send: For nail clients, especially first timers.

Why it works: It surfaces the one thing that changes your schedule before it does.

Moved to a new time

Done, I've moved you to {{time}}. Your old slot is open again. Same address, same everything else, and I'll remind you the day before.

When to send: After a client asks to reschedule.

Why it works: It confirms the change so there is no doubt about which time is real.

Clinics and dental

Clinic, minimal details

EssentialPro
Hello {{name}}, your appointment on {{date}} is confirmed. Please arrive five minutes early. To change it, call the office during business hours.

When to send: For any medical, dental or aesthetic clinic. Put the full day and time in the date blank.

Why it works: It names only the person, the date and the office, never a procedure or a condition.

Clinic, new patient visit

Pro
Your visit is confirmed for {{date}}. Please bring your ID and insurance card, and arrive ten minutes early to finish check in. We're at {{address}}.

When to send: When a new patient books a first visit at a clinic or dental office.

Why it works: It tells them what to bring without saying why they are coming.

Clinic, form link

Pro
Thanks, {{name}}. Before your visit, please fill out our short form here: {{link}}. It takes about five minutes and saves time at the desk.

When to send: Right after a new patient books, if your office uses online forms.

Why it works: Health details belong in your form, not in a text thread, and this sends them there.

Do not say

  • Naming the procedure or condition in a clinic or dental confirmation ("your root canal is on Tuesday").

Instead: Write "your appointment" or "your visit" with the date, time and office name. Keep details for the room.

    Source

  • Telling clients your texts are "HIPAA compliant".

Instead: Keep the text minimal and share clinical information in person or through your practice's secure portal.

  • A fee the client never saw ("you will be charged $50 if you cancel").

Instead: Mention your policy at booking and again in the confirmation, with the hours. Check your state's rules on fees.

    Source

  • "Free cancellation" when a fee can apply.

Instead: "Changes are fine up to 24 hours before." Say what happens after that, plainly.

  • A sale or promotion inside the confirmation.

Instead: Keep the confirmation about the appointment. Promotions are a separate message to clients who opted in.

    Source

  • "Reply YES now or I give your slot away."

Instead: "Reply if you need to change anything, and I'll keep your slot."

  • Asking clients to send health history or photos by text.

Instead: Send a link to your intake form and collect details there.

Frequently asked questions

What should a confirmation text include?

The person's name, the day and time, where to go, and one line about changes. Add a prep note only if it changes how the visit runs, like clean eyes before a lash set. Anything more belongs in a later message.

Should I mention my cancellation policy in the confirmation?

Yes, if you charge for late changes. Show it when the client books and repeat it in the confirmation, with the hours, so a fee never comes as a surprise. Rules on fees differ by state, so check yours.

What can a clinic or dental office put in a text?

Keep it to the person's name, the date and time, and the office name. Do not name the procedure, the provider's specialty or a condition. HHS guidance allows appointment reminders, and keeping them minimal is the safe habit. This is general information, not legal advice. If a patient asks you to reach them another way, such as a call instead of a text, do that.

Do these work on the free plan?

Yes. 10 of the 13 messages use a single blank, and a single blank fills in on the free plan. The other 3 have two blanks, and those need Pro to fill both from the keyboard. The free plan holds 8 textcuts and 1 folder. Importing a pack is never blocked, so you can add them all and keep the ones you use.

Do I need a client's permission to text a confirmation?

A confirmation sent one to one to a client who gave you their number to book is an ordinary service message. Promotions are different: send them only to clients who agreed to receive them, with a way to opt out. This is general information, not legal advice.
