No show follow up texts: 13 templates that keep the client

A client does not show, your chair sits empty and you are annoyed, which is exactly the wrong time to write. The messages below start kind, because most missed visits are an honest slip and not a decision, and most clients come back when they are not shamed. They move through a soft check in, a policy reminder, a fee message that only makes sense if the policy was shared in advance, and a clinic version that says nothing about the reason for the visit. Copy any message, or add all 13 to your keyboard and send them from iMessage, WhatsApp, Instagram or any other app in one tap.

Works in WhatsApp, iMessage, Instagram, Messenger and every other app.

Words in {{double braces}} are blanks. In the textcuts keyboard you fill them with one tap, and the names you used recently come back.

The same day

First message, just checking

Essential
{{name}}, I missed you today and wanted to make sure you're okay. If something came up, that's fine. Let me know and we'll find another time.

When to send: Within an hour of the missed appointment.

Why it works: It leads with concern, which is the tone that brings people back.

Short and open

Essential
We had you down for {{time}} and missed you. Is everything alright? Text me whenever you can and we'll find a new time.

When to send: The same afternoon, if the first message felt too long.

Why it works: It asks a question that is easy to answer and does not assume a reason.

Offering an opening

Pro
Hi {{name}}, I'm sorry the day didn't work out. I've got an opening on {{day}} if you'd like to try again. Say the word and it's yours.

When to send: Same day or the next morning.

Why it works: It offers a ready made fix, which is easier than asking them to figure one out.

If it slipped their mind

Easy to lose track of a day, {{name}}. If it slipped your mind, it happens to everyone. Want me to look at my schedule for this week?

When to send: When you suspect they simply forgot.

Why it works: It gives a graceful reason without accusing and moves straight to rebooking.

A day or two later

One more check in

Checking in once more, {{name}}. I'd still love to see you, and I can usually find a time that works. Just tell me which days suit you best.

When to send: The day after, if there has been no reply.

Why it works: It repeats the welcome and shifts the work onto a simple preference question.

Policy reminder, first miss

Essential
Hi {{name}}, no hard feelings about today. For next time, we ask for 24 hours notice to move a booking, as shown on your confirmation. Let's get you rebooked.

When to send: After a first miss, when no fee is charged.

Why it works: It explains the rule without a fee, which keeps the relationship while the policy sticks.

Fee, only if the policy was shared

Essential
Hi, we missed you today. Under the policy you saw when you booked and in your confirmation, a missed visit carries a {{price}} fee. I'm glad to rebook you whenever you're ready.

When to send: Only when the client saw the policy at booking and in the confirmation.

Why it works: It is calm and exact, and it points back to something they already agreed to.

Waiving the first miss

Essential
Hi {{name}}, since this is your first miss, I've waived the fee. From now on the 24 hour policy applies, so please let me know if plans change. Want to rebook?

When to send: When you decide to be generous the first time.

Why it works: A waiver feels good to receive, and the clear next step keeps it from repeating.

Repeat misses and clinics

Repeat miss, asking for a deposit

{{name}}, this is the second booking that didn't go ahead, so I want to be upfront: I'll need a deposit to hold future times. Does that work for you, or would a different schedule suit you better?

When to send: After a second miss.

Why it works: It states the change and invites a conversation instead of ending the relationship.

Rebook link after a reply

Pro
Thanks for getting back to me, {{name}}. Here's the link to rebook: {{link}}. A small deposit holds the slot and comes off your total on the day.

When to send: When they reply and want to rebook after a repeat miss.

Why it works: It shows exactly how to move forward and why the deposit is there.

Clinic, first message

Essential
Hello {{name}}, we missed you at your appointment today. Please call the office when you have a moment so we can find a new time.

When to send: For any medical, dental or aesthetic clinic, the same day.

Why it works: It says nothing about the reason for the visit and asks for a call, not an explanation.

Clinic, no reply yet

Hello {{name}}, we haven't heard back and we'd like to help you reschedule. Our office is open Monday to Friday. Call anytime, or reply with the days that suit you.

When to send: A few days after the clinic's first message.

Why it works: It lists simple ways to reply and leaves the pressure out.

You turned them away for being late

Pro
Hi {{name}}, I'm sorry I couldn't fit you in when you arrived late today. I had a client right after you. Can I give you the first opening on {{day}}?

When to send: After you declined a late arrival.

Why it works: It explains your side kindly and leads with a fix.

Do not say

  • Charging a fee the client never saw ("you owe $50 for missing").

Instead: Share your policy at booking and in the confirmation. Mention the fee only after that. Check your state's rules.

    Source

  • "You wasted my time and my slot."

Instead: "I missed you today. Is everything alright?"

  • Naming the procedure or condition in a clinic or dental no show text ("you missed your crown fitting").

Instead: "We missed you at your appointment today. Please call the office."

    Source

  • Sending the fee message as the very first message.

Instead: Start with concern, send the policy next, and only then the fee if it applies.

  • Threats like "I'll blacklist you".

Instead: "I'll need a deposit to hold future times."

  • Texting every day until they answer.

Instead: One message the same day, one the next day, one a few days later, and then stop.

  • Putting a promotion in the no show text.

Instead: Keep it about the booking. Offers go in a separate message to clients who agreed to get them.

Frequently asked questions

How soon should I text after a no show?

Within an hour, with a short and kind message. A second message the next day is fine if there has been no reply. After a few days, send one last note and stop.

Can I charge a no show fee?

Many businesses do, but the client should have seen the policy at booking and in the confirmation, with the hours and the amount. Rules differ by state, so check yours. If the policy was never shared, waive the fee and use the miss to share it.

What should a clinic say to a patient who did not show?

Say that the office missed them and ask them to call. Do not name the procedure, the provider or a condition. HHS guidance allows appointment communications, and keeping them minimal is the careful habit. This is general information, not legal advice. If a patient asks you to reach them another way, such as a call instead of a text, do that.

Do these work on the free plan?

Yes. 10 of the 13 messages use a single blank, and a single blank fills in on the free plan. The other 3 have two blanks, and those need Pro to fill both from the keyboard. The free plan holds 8 textcuts and 1 folder. Importing a pack is never blocked, so you can add them all and keep the ones you use.

Should I ever stop booking someone who keeps missing?

That is your call. A deposit for future bookings is a fair middle step, and the "repeat miss" message offers it without ending the relationship.
