Message templates for Etsy and Shopify sellers

You run a small shop, and a lot of the work happens in messages: a thank you after an order, a buyer asking where it is, a delay you have to explain, a parcel that arrived broken. These twelve messages follow the whole customer journey, from the order coming in to a buyer who comes back. They are written to stay inside the Etsy rules on messages, so none of them carries a promo code, asks anyone to pay elsewhere, or trades a review for a reward. Each one is short enough to send by hand. Below the pack you will find a page for each stage of the journey. Copy any message, or add the whole pack to your keyboard and send from Etsy, Instagram, WhatsApp, SMS or any other app in one tap.

Works in WhatsApp, iMessage, Instagram, Messenger and every other app.

Words in {{double braces}} are blanks. In the textcuts keyboard you fill them with one tap, and the names you used recently come back.

After the order

Thank you with a ship time

Essential
Thank you for your order, {{name}}. It will be packed within three business days, and I'll message you the tracking details once it leaves. If you have a question before then, reply here.

When to send: Right after the order comes in.

Why it works: It says what happens next and who to ask, and it asks for nothing.

Details for a custom order

Thanks, {{name}}. To start your custom piece I need the exact wording and the color you'd like. Reply with both, and I'll send a photo for your approval before I make it.

When to send: When an order needs personalization details.

Why it works: A specific ask gets a specific answer, and the photo promise builds trust.

Your file is ready

Essential
Your file is ready, {{name}}. Open your Purchases page in a web browser, since the Etsy app doesn't download files, and press Download Files. If the button looks grey or missing, tell me what you see.

When to send: When a digital order goes through.

Why it works: It shows where to look and invites a reply before frustration builds.

Shipping

Shipped, with tracking

Essential
Good news, {{name}}, your order has shipped. You'll find the tracking number in your order details. The first scan can take a day to appear, so check again tomorrow if it looks empty.

When to send: The day the parcel goes to the carrier.

Why it works: It heads off the first worried message about tracking that has not moved.

Not shipped yet

Pro
Thanks for checking, {{name}}. Your order is still in production and will ship by {{date}}. I'll send the tracking number the moment it leaves, so you needn't write again.

When to send: When a buyer asks where their order is before it ships.

Why it works: A real date answers the question better than reassurance.

Late, with a way out

EssentialPro
{{name}}, your order will ship later than planned. The new ship date is {{date}}. If you'd rather cancel for a full refund, reply here and I'll process it today. If I don't hear back, I'll ship on the new date.

When to send: As soon as you know the ship date will slip, by 30 days or less.

Why it works: It tells them before they ask, gives a definite date, offers the refund and says what no reply means.

Problems and questions

It arrived damaged

Essential
I'm so sorry it arrived like that, {{name}}. Could you send a photo of the item and of the box? Once I see it, I'll offer a replacement or a refund, whichever you prefer.

When to send: When a buyer reports damage.

Why it works: An apology, one clear request, and a choice for the buyer.

Return request received

Thanks for telling me, {{name}}. I'd like to help. Let me know what's wrong and whether you'd prefer an exchange or a refund, and I'll explain the next step under my shop policy.

When to send: When someone asks to return an item.

Why it works: It starts with help and sends them to your written policy.

Which size or option

Happy to help you choose, {{name}}. Tell me what you'll use it for and your usual size, and I'll say which option fits best. If you're between sizes, I'll tell you honestly.

When to send: When a shopper messages with a pre sale question.

Why it works: Honesty about fit prevents returns later.

Delivered but not found

Sorry to hear that, {{name}}. Please check with neighbors and around your entrance, since carriers sometimes leave parcels nearby. If it hasn't turned up by tomorrow, tell me and I'll start a claim.

When to send: When tracking says delivered and the buyer says no.

Why it works: It gives them quick things to try without doubting them.

Reviews and repeat buyers

Asking for an honest review

Essential
{{name}}, I hope your order is working out. If you have a minute, an honest review helps other buyers decide, whatever you thought. And if anything isn't right, tell me and I'll help.

When to send: One or two weeks after delivery, once.

Why it works: It asks for honesty, not stars, and offers help without linking the two.

Welcome back

Welcome back, {{name}}, and thank you for ordering again. It's nice to see a familiar name. Your order is being prepared, and I'll message you when it ships.

When to send: When a repeat buyer orders again.

Why it works: A personal note that sells nothing.

Do not say

  • Promo codes or "follow me on Instagram" inside an Etsy message.

Instead: Keep Etsy messages to the order or the question.

    Source

  • "Message me on WhatsApp and pay me there."

Instead: Keep the order and payment on the platform where it started.

    Source

  • "Leave 5 stars and get 10% off your next order."

Instead: Ask for an honest review and attach no reward.

    Source

  • "It shows delivered, so it's not my problem."

Instead: Offer to look into it and say what you will do next.

    Source

  • A vague date ("soon", "in a few days") when an order is late.

Instead: Give a definite new date, or say plainly that you don't know yet.

    Source

  • Fake urgency ("only 1 left") when it isn't true.

Instead: State the real stock, or say nothing about it.

  • Messaging someone again after they asked you to stop.

Instead: Stop. One polite reply to their message is enough.

Works in WhatsApp, iMessage, Instagram, Messenger and every other app.

Customer questions

Frequently asked questions

Are these messages allowed on Etsy?

They are written to stay inside the Etsy rules on messages: about the order, no promotions, no payments outside Etsy. Etsy decides what counts in your case, so read its current rules for your shop.

Can I use the same messages for Shopify, Instagram and SMS?

Yes. textcuts is a keyboard, so the pack works in every app where you type. A customer who messaged you can always get a reply. Marketing texts need a yes from the person first, and that is not covered by these templates. This is common practice, not legal advice.

Can I ask for a review in these messages?

You can ask, but you can't pay or reward anyone for one. The FTC's rule on reviews bans incentives tied to what a review says, and Etsy and Google don't allow rewards for reviews at all. The review template asks for an honest one and offers nothing in return.

What if my order is late?

Tell the buyer, give a definite new date, and offer a full refund if they would rather cancel. The FTC's order rule asks this of online sellers in the US. No reply counts as a yes only when the new date is within 30 days of the promised one; for a longer delay you need the buyer's yes. The shipping delay messages page has the wording for both.

Do these templates work on the free plan?

Yes. 10 of the 12 use a single blank, which fills in on the free plan. The two that use two blanks (not shipped yet, late with a way out) need Pro to fill both from the keyboard. Free holds 8 textcuts and 1 folder, so the six essentials fit. Importing all twelve also works, because imports are never blocked.
