Thank you messages after a purchase: 12 templates to send

A buyer has just paid, and the first message they get from you sets the tone for the whole order. A good one does three things: it says thank you, it says what happens next, and it asks for nothing. That means no promo code, no link to your Instagram, no request for a review. These 12 messages cover a standard order, made to order pieces, personalization, gifts, first time buyers, international parcels and the small questions buyers send right after paying. They are written to fit Etsy Messages and work as well in Shopify chats and Instagram DMs. Copy any message, or add the whole pack to your keyboard and send from Etsy, Instagram, WhatsApp, SMS or any other app in one tap.

Works in WhatsApp, iMessage, Instagram, Messenger and every other app.

Words in {{double braces}} are blanks. In the textcuts keyboard you fill them with one tap, and the names you used recently come back.

Right after the order

Thank you with a ship window

Essential
{{name}}, thank you for choosing my shop. I'm getting your order ready now, and it will leave within two business days. You'll hear from me again as soon as it ships.

When to send: The day the order arrives.

Why it works: It thanks, says what's next, and stops there.

In stock, ships tomorrow

It's in stock, {{name}}, so I'll pack it tomorrow morning and take it to the post office. Tracking follows the same day. Thank you for your order.

When to send: For items you keep ready to ship.

Why it works: A near date makes the wait feel short.

Made to order

Essential
Thank you, {{name}}. Your piece is made to order, so it needs about a week before it ships. I'll send a photo when it's finished, before it goes in the box.

When to send: For handmade or made to order items.

Why it works: The photo promise turns a wait into something to look forward to.

Asking for personalization

Essential
Thanks, {{name}}. Your order needs one detail from you: the name or text you want on it. Please reply with it exactly as it should appear, capitals included, and I'll begin.

When to send: When the listing asked for personalization but none came.

Why it works: It names the one thing you need, so the reply is short and exact.

Special cases

Gift order

Thank you, {{name}}. I see this is a gift. Would you like a handwritten note included, and what should it say? I'll leave the price out of the parcel either way.

When to send: When the buyer marks an order as a gift.

Why it works: The question is useful and the privacy promise is a kind touch.

Check the address

Essential
Thanks for the order, {{name}}. Before I ship, please look at the address on your receipt, including the apartment number. I can still fix a mistake until the parcel is packed.

When to send: The same day, before you pack.

Why it works: A wrong address costs a lot more than a quick check.

First order from this buyer

Essential
Welcome, {{name}}, and thank you for trusting a small shop with your first order. Everything here is packed by hand. If a question comes up before it arrives, reply to this message.

When to send: When you don't recognize the name.

Why it works: It gives a new buyer a real person to ask.

Several items in one order

Quick note, {{name}}: your order has more than one item, and they may travel in separate parcels. Each gets its own tracking message, so don't worry if they arrive on different days.

When to send: For orders with several items.

Why it works: It prevents a panic about a missing item that is still on its way.

Order going abroad

Essential
Thank you for your order, {{name}}. It's going abroad, so please allow extra days for customs, and your country may charge import fees on arrival. I'll send tracking once it leaves.

When to send: For international orders.

Why it works: Fees that surprise a buyer become bad feelings, so say it early.

Questions after buying

Change received

Got it, {{name}}. I've changed the color on your order and will pack it with the new one. Tell me if anything else needs adjusting before it ships.

When to send: When a buyer asks for a change after ordering.

Why it works: It confirms exactly what changed.

Confirmation not received

Thank you for order {{order}}. It has gone through and I've noted the details. A confirmation email from the platform should reach you within minutes. If it doesn't, check your spam folder and tell me.

When to send: When a buyer isn't sure the order worked.

Why it works: It points to the usual cause before they worry.

Away for a few days

Thanks for your order. I'm away until {{day}}, so it will ship when I'm back, still within the processing time on the listing. If you need it sooner, tell me now and I'll see what I can do.

When to send: When you're away after an order comes in, but can still ship within your stated processing time.

Why it works: Honesty about timing keeps the order from feeling lost.

  • "Follow me on Instagram" or your phone number in the thank you.

Instead: Keep contact inside the platform where the order started.

    Source

  • "Please leave a 5 star review!" in the first message.

Instead: Wait until the order has arrived, and then ask for an honest review.

    Source

  • A ship date you can't meet.

Instead: Give the real window, including your busy weeks.

    Source

  • Asking the buyer to pay, tip or order again outside the platform.

Instead: Keep every payment on the original order.

    Source

  • Copying the buyer's whole address into the chat.

Instead: Ask them to check the receipt, and only repeat what is needed.

Frequently asked questions

What should a thank you message after a purchase include?

Three things: a thank you, what happens next (a ship window or where the file is), and a way to reach you. Leave out promotions and review requests. The Message to Buyers help page explains the automatic note, and these templates are for the personal message you send yourself.

Can I add a discount code to an Etsy thank you?

No. The Etsy House Rules don't allow unsolicited promotions in Messages. Keep the thank you about the order.

Should I ask for personalization details in the thank you?

Yes, if the listing needs them. Ask for exactly one thing and say what you will do when you have it. The "Asking for personalization" template does this.

Can I use these outside Etsy?

Yes. textcuts is a keyboard, so the templates work in Shopify chats, Instagram, WhatsApp, SMS and any other app where you type.

Do these templates work on the free plan?

Yes. All 12 use a single blank, which fills in on the free plan. Free holds 8 textcuts and 1 folder, so the six essentials fit. Importing all twelve also works, because imports are never blocked.
