Rental inquiry and lease renewal texts: 15 templates for agents

A rental inquiry arrives at nine at night, a showing needs confirming, an applicant asks how you decide, and a lease ends in three months. Leasing runs on short messages, and the risk is saying things differently to different people. Fair Housing rules ask you to apply the same criteria and give the same answers to every applicant, so these 15 messages state the standard once, in plain words. They cover the inquiry reply, screening, showings, the application, an accommodation request, the decision, the renewal offer and the move out reply. Copy any of them, or add all 15 to your keyboard and send them from iMessage, WhatsApp, Instagram or any other app in one tap.

Words in {{double braces}} are blanks. In the textcuts keyboard you fill them with one tap, and the names you used recently come back.

Inquiries and screening

Reply to a rental inquiry

Essential
Hi {{name}}, thanks for asking about the rental. I can show it this week. Next I'll send the rent, deposit, lease length and application steps in one message so you have it all in writing.

When to send: Within a few hours of an inquiry, once you know the unit is still available.

Why it works: It answers the real questions before they have to ask them, and the written details help you answer every inquiry the same way.

Screening criteria, same for everyone

Essential
{{name}}, here is how we screen, and it is the same for every applicant: income at a set multiple of the rent, a rental history check, a credit check and a completed application. I'll send the written criteria to read first.

When to send: When someone asks what it takes to qualify.

Why it works: Stating one standard, in writing, to everyone is the safest way to stay fair.

Questions about the area

{{name}}, I give every applicant the same answers, so I stick to the home itself: size, rent, lease length, what is included. For the area, visit at different hours and see what matters to you.

When to send: When a prospect asks who lives nearby or whether the neighborhood suits them.

Why it works: It keeps you out of describing people, which is where steering starts.

Question about income or payment

Good question, {{name}}. Every applicant uses the same application and pays the same fee. If you want to know how a certain kind of income is counted, I'll send the written policy.

When to send: When an applicant asks how their income or payment source will be counted.

Why it works: You point to a written policy instead of improvising an answer that differs from person to person.

Showings

Showing confirmation

EssentialPro
{{name}}, you're booked for {{day}} at {{time}}. I'll meet you at the front entrance. Please bring a photo ID, and tell me here if you need to change the time.

When to send: Right after you agree on a time.

Why it works: One short message holds the time, the meeting spot and what to bring.

Day before reminder

Quick reminder: your showing is tomorrow at {{time}}. I'll be waiting at the front entrance. If something changes, text me here and we'll find another slot.

When to send: The afternoon before a showing.

Why it works: A reminder with the time in it cuts the no shows without sounding pushy.

After the showing, application link

Thanks for coming by today. If you'd like to apply, the application is here: {{link}}. It is the same form and fee for everyone, and I review applications in the order they are complete.

When to send: Within an hour of the showing.

Why it works: It gives the next step while the place is fresh, and says out loud that the process is fair.

Applications

Application received

Essential
{{name}}, I have your application. Next I confirm income and rental history, which can take a couple of business days. I'll text you as soon as I have a decision, either way.

When to send: The day an application comes in.

Why it works: Applicants wait nervously; a clear next step and a promise to report back calms them.

Missing item on an application

Quick note on your application: one item is still missing, {{item}}. Send it when you can and I'll pick the review up from there.

When to send: As soon as you notice something missing.

Why it works: It names the single thing needed, so it is easy to answer.

Application approved

Good news, {{name}}: your application is approved. Next are the lease and the deposit by the date in the offer. I'll send the lease for you to read in full before you sign anything.

When to send: After the decision is final and the offer is ready.

Why it works: It tells them what happens next and invites them to read before signing.

Application not approved

{{name}}, thank you for applying. We were not able to approve this application. If a credit or background report was part of the decision, you will receive a written notice naming the agency and explaining your rights.

When to send: After a decision, alongside the written notice your broker or owner requires.

Why it works: It is kind and plain, and it points to the written notice instead of arguing the decision in a text.

Accommodation request

Thank you for asking, {{name}}. I'll take your request to the owner today and reply in writing. You don't need to tell me a diagnosis, only what change would help.

When to send: When an applicant or tenant asks for a change to a rule or policy because of a disability, such as an assistance animal in a no pets building.

Why it works: A prompt, written answer to every request is what the law expects, and it keeps the conversation on what they need.

Renewals and move outs

Lease renewal offer

EssentialPro
Hi {{name}}, your lease ends on {{date}} and I'd be glad to have you stay. I'm preparing a renewal offer. The formal terms come to you in writing, and I'll text you the moment it is sent.

When to send: About 90 days before the lease ends, or earlier if your lease or local rules call for it.

Why it works: It opens the conversation warmly while the terms stay in the formal document.

Renewal reminder

{{name}}, a friendly nudge about the renewal offer I sent. A reply with stay or leave helps me plan, and questions about any of the terms are welcome.

When to send: About a week after the offer, if you have no answer.

Why it works: One clear choice is easy to answer from a phone.

Reply to a move out notice

Essential
Thanks for letting me know, {{name}}. I have your notice. I'll send a move out checklist and set a day for the walkthrough, and the deposit follows the process in your lease.

When to send: When a tenant tells you they are leaving.

Why it works: It confirms receipt and lays out the steps, which keeps the exit calm.

Do not say

  • "No Section 8" or "no vouchers". In many states and cities, source of income is protected, so refusing a voucher can be illegal.

Instead: State the same income and payment rules for everyone and send the written policy. Ask your broker what applies where you work.

    Source

  • "Perfect for singles or couples, no kids" or "ideal for young professionals". These describe who the home is for, which can signal a preference.

Instead: Describe the home: bedrooms, rent, lease length, what is included.

    Source

  • "It's a great neighborhood, mostly families." Describing who lives in an area can steer people.

Instead: Point to maps and public data, and suggest they visit at different hours. Give the same answer to every prospect.

    Source

  • Questions about family, religion, disability or where someone is from, even in a friendly chat.

Instead: Ask only what is on your written criteria, and ask everyone.

    Source

  • "Rent is going up, consider this text your notice." Rules for renewal and rent increase notices differ by state and usually need writing delivered a certain way.

Instead: Text that a formal notice is coming, then send it the way your lease and local law require.

  • Giving a friendly applicant extra time or a better deal than the one before them.

Instead: Apply the same criteria, fee and order of review to everyone, and keep a record.

  • Rejecting an application by text and nothing else.

Instead: Tell them a written notice is coming, and send the notice if a credit or background report played a part.

  • Ignoring or delaying a request for a reasonable accommodation, or charging a pet fee for an assistance animal.

Instead: Acknowledge it the same day, pass it to the owner or manager, and answer in writing.

Frequently asked questions

Do these rental texts work on the free plan?

Yes. 13 of the 15 use a single blank, which fills in on the free plan. The showing confirmation and the renewal offer use two blanks and need Pro to fill both from the keyboard. The free plan holds 8 textcuts and 1 folder, and an import is never blocked.

Does a text count as a legal notice for a renewal or rent increase?

Often not. Many states require written notice delivered in a specific way. Use these texts to start the conversation and to say a formal notice is coming, then send the notice your lease and local law require.

Why do the screening texts sound so plain?

Fair Housing rules ask you to apply the same criteria and give the same answers to every applicant. A short, written standard that you send to everyone is easy to follow and easy to show later.

Can I describe the neighborhood to a prospect?

Stick to facts about the home and point to maps and public data for the area. Describing who lives nearby, or whom a place suits, can steer people. Ask your broker for your local guidance.

When is it fine to send these?

Reply to inquiries and applicants when they reach out. Keep marketing style texts to people who agreed to hear from you, include a way to opt out, and send between 8am and 9pm in their time zone.

Which apps can I send these from?

Any app you text from. textcuts is a keyboard, so the same messages work in iMessage, WhatsApp, Instagram or any other app, and you send each one yourself from your own phone.
