What to text a client who missed a session: 13 templates

Your client did not show up, and you are standing in an empty studio or staring at a blank video call. You want to be kind and you also want to be paid for your time. These 13 messages handle the first ping, the follow up, the policy reminder, repeat misses and the gentle goodbye, without sounding cross. Copy any of them, or add all 13 to your keyboard and send them from iMessage, WhatsApp, Instagram or any other app in one tap.

Works in WhatsApp, iMessage, Instagram, Messenger and every other app.

Words in {{double braces}} are blanks. In the textcuts keyboard you fill them with one tap, and the names you used recently come back.

In the first hour

Are you on your way

Essential
Hey {{name}}, I'm at the studio and don't see you yet. Are you on your way?

When to send: Ten minutes after the start time.

Why it works: It assumes a delay first, which is usually true.

We missed you

Essential
Hi {{name}}, we missed you today. I hope everything's okay. Let me know when you're ready and we'll find another time.

When to send: Right after the session slot ends.

Why it works: Concern comes first, business second.

Class spot unused

Hello {{name}}, we saved your place in class today and you weren't there. If the schedule isn't working, tell me and I'll suggest a better slot.

When to send: After a group class.

Why it works: It points at the schedule, not at the person.

Rough day

I just heard you had a rough day, {{name}}. Please don't worry about the session. Rest, and message me when you want to pick it back up.

When to send: When you know why they missed.

Why it works: It protects the relationship when the reason is real.

The next day

Book the next one

{{name}}, no worries about yesterday. Things come up. Want to book the next one now so it's in your calendar?

When to send: The next morning.

Why it works: It moves straight to a new booking.

The policy, gently

Essential
Hi {{name}}, I missed you at our session. As a reminder, sessions cancelled with less than 24 hours notice count as used. Happy to talk it through if something happened.

When to send: When the policy applies.

Why it works: It states the rule once, calmly, and invites a conversation.

Count it as used

Pro
Hi {{name}}, today's missed session has been used from your package, as agreed. You have {{count}} left. Shall we book the next?

When to send: When you apply the charge.

Why it works: It tells them what happened and what remains, with no drama.

Waive it once

Essential
{{name}}, I'll let this one go as a one time courtesy. Next time, a quick text before the session is all I need.

When to send: When you choose to be generous.

Why it works: It keeps the goodwill and names the one thing you need.

If it keeps happening

The second miss

Essential
Hi {{name}}, that's the second session we've missed. I want to make sure the time works for you. Would another day or hour suit you better?

When to send: After two misses.

Why it works: It asks about the schedule instead of blaming.

Ask for feedback

Can I ask something, {{name}}? Is there anything about the sessions you'd like me to change? Honest answers help me a lot.

When to send: When misses start to form a pattern.

Why it works: It invites the real reason, which is often not about time.

Offer a pause

{{name}}, if life is busy right now, we can pause for a few weeks. Just say the word and I'll hold your spot for when you're back.

When to send: When the client seems overloaded.

Why it works: A pause keeps a client who might otherwise quit.

Return after a gap

Essential
Hi {{name}}, it's been a few weeks. No pressure at all. If you'd like to start again, I'll build something gentle for your first week back.

When to send: Three to six weeks after the last session.

Why it works: It lowers the bar to coming back.

The last message

{{name}}, I'll stop checking in so I don't crowd you. My door is open whenever you want to train again. Take care.

When to send: After two or three unanswered messages.

Why it works: A kind final note often gets the reply the earlier ones did not.

Do not say

  • Accusing ("you wasted my morning").

Instead: Say you missed them and that you hope all is well.

  • Sending five messages in a row.

Instead: One ping, one follow up the next day, one last note.

  • Changing the policy after the fact.

Instead: Point to the cancellation policy the client already agreed to.

  • Guilt about their goals ("you'll never get results this way").

Instead: Offer a simpler plan and say results vary.

    Source

  • Posting about the no show in a group chat.

Instead: Keep it between you and the client.

  • Texting people who asked you to stop.

Instead: Stop at once and note it on their file.

Frequently asked questions

Should I charge for a no show?

That is your call, and it depends on what you wrote in your terms. Whatever you choose, tell clients in advance, apply it the same way each time, and use the policy template above so it never comes as a surprise.

Do these work on the free plan?

Yes, mostly. 12 of the 13 templates use a single blank, which fills in from the keyboard on the free plan. The other 1 use two or more blanks, so filling every blank from the keyboard needs Pro. Free holds 8 textcuts and 1 folder, so the six essentials fit comfortably. Importing all of them also works, because imports are never blocked and nothing is deleted.

How many times should I follow up?

Once the same day, once the next day, and a last friendly note after a few quiet weeks. Beyond that you are chasing, not coaching.

Can I send these on WhatsApp and Instagram?

Yes. textcuts is a keyboard, so the templates work in every app where you type, including iMessage, WhatsApp, Instagram, Messenger and SMS.
