Progress check in texts for coaches and trainers: 13 templates

The best coaching happens between sessions, and so does most of the quitting. A short message at the right moment keeps a client moving when you are not in the room. These 13 texts cover midweek check ins, missed homework, small wins, sore days, travel weeks and the Sunday plan, with no promises about results and no pressure. Copy any of them, or add all 13 to your keyboard and send them from iMessage, WhatsApp, Instagram or any other app in one tap.

Words in {{double braces}} are blanks. In the textcuts keyboard you fill them with one tap, and the names you used recently come back.

Checking in

Midweek

Essential
Hi {{name}}, how's the week going? Did you get your homework done? No judgment either way, I just want to know how to plan Monday.

When to send: Midweek.

Why it works: It asks for facts, so you can plan the next session.

New week

Essential
Morning {{name}}. New week, small steps. Pick one thing you'll do today and tell me what it is.

When to send: Monday morning.

Why it works: One small commitment is easier to keep than a big one.

Sunday plan

Essential
Evening {{name}}, quick one: which days can you train this week? Send me your times and I'll plan around them.

When to send: Sunday evening.

Why it works: It turns a vague intention into a schedule.

Away this week

Hello {{name}}, heading away this week? I'll send a short routine you can do in a hotel room or at home.

When to send: Before a client's trip.

Why it works: It keeps the habit alive when the routine breaks.

Holiday

Enjoy the holiday, {{name}}. Move a little if it feels good, rest if it doesn't. See you after.

When to send: Before a holiday.

Why it works: It gives permission to rest, which builds trust.

Wins and wobbles

Win spotted

Essential
Nice work on Tuesday, {{name}}. I could see you pushing on those last reps. Keep that going.

When to send: The day after a good session.

Why it works: Specific praise is believed.

Consistency

Hey {{name}}, three weeks in a row of showing up. That consistency is the real work. Proud of you.

When to send: After a streak.

Why it works: It praises the habit, not a number.

Easier now

What's something that feels easier now than it did a month ago, {{name}}? I like collecting those.

When to send: After a few weeks.

Why it works: It lets the client name their own progress.

Missed homework

Essential
Hey {{name}}, no problem if the home workouts slipped. Want me to make them shorter so they're easier to fit in?

When to send: When homework was skipped.

Why it works: It fixes the plan, not the person.

Heavy week

{{name}}, I get the sense this week was heavy. Want to reset the goals together? Even ten minutes a day counts.

When to send: When the client sounds worn out.

Why it works: It lowers the bar before they quit.

Form and feeling

How do you feel

Essential
How are you feeling after yesterday, {{name}}? Some soreness is normal, but tell me if anything feels sharp or wrong. If it lasts, please see your doctor.

When to send: The day after a hard session.

Why it works: It shows you care and sends real problems to a doctor.

Send a video

{{name}}, send me a short video of that exercise when you get a chance. I'd like to look at your form from here.

When to send: When you want to coach technique remotely.

Why it works: Clients enjoy the attention, and it prevents bad habits.

Review coming

{{name}}, we're a month in. Let's spend a few minutes at our next session on what's working and what isn't. Anything you'd like to raise?

When to send: At four weeks.

Why it works: It prepares them to speak up.

Do not say

  • Weight, body or appearance promises ("you'll be down a size by summer").

Instead: Praise effort and habits, and say results vary.

    Source

  • Diagnosing pain over text.

Instead: Say you cannot tell from a message and suggest they see a doctor.

    Source

  • Comparing a client with other clients.

Instead: Compare them only with their own start.

  • Checking in every day.

Instead: Two or three chosen moments a week are plenty.

  • Guilt about food or missed workouts.

Instead: Ask what would make next week easier.

  • Sharing a client's progress photo without asking.

Instead: Ask first, and accept a no.

Frequently asked questions

How often should I message clients between sessions?

Two or three planned touches a week is enough for most. A Monday nudge, a midweek question and a Sunday plan cover it, and the rest is replies.

Do these work on the free plan?

Yes, mostly. 13 of the 13 templates use a single blank, which fills in from the keyboard on the free plan. Free holds 8 textcuts and 1 folder, so the six essentials fit comfortably. Importing all of them also works, because imports are never blocked and nothing is deleted.

What if a client never replies?

Do not send more. Send one message that is easy to answer, such as the "Heavy week" template, then wait for the next session.

Can I send these on WhatsApp and Instagram?

Yes. textcuts is a keyboard, so the templates work in every app where you type, including iMessage, WhatsApp, Instagram, Messenger and SMS.
