Stating the policy

The policy up front

Essential
Hi {{name}}, a quick reminder of how I handle cancellations. With 24 hours notice, there's no charge. Inside that, the session is counted as used.

When to send: When they book, and again before the first session.

Why it works: Saying it early means you never have to defend it later.

Do not say

  • Applying a rule you never told them about.

Instead: Share the policy in writing when they book.

  • Different rules for different clients.

Instead: Apply it the same way, and call a waiver a waiver.

  • Sarcasm ("thanks for the notice").

Instead: Say thank you plainly and offer new times.

  • Promising the missed session back, then forgetting.

Instead: Write it in your notes the moment you promise it.

  • Ignoring a cancel and charging silently.

Instead: Tell them the session counted and why.

  • Medical judgment ("you're not really sick").

Instead: Take their word and thank them for telling you.

Frequently asked questions

What is a fair cancellation window?

Most coaches use 24 hours for one to one sessions and 12 for classes. Pick what fits your schedule, put it in writing, and use the same rule for everyone.

Do these work on the free plan?

Yes, mostly. 13 of the 13 templates use a single blank, which fills in from the keyboard on the free plan. Free holds 8 textcuts and 1 folder, so the six essentials fit comfortably. Importing all of them also works, because imports are never blocked and nothing is deleted.

How do I say no to an exception without losing the client?

Start with sympathy and end with an offer to rebook. The "A firm no" template does that.

Can I send these on WhatsApp and Instagram?

Yes. textcuts is a keyboard, so the templates work in every app where you type, including iMessage, WhatsApp, Instagram, Messenger and SMS.
