Rental showing confirmation texts: 14 templates

Someone asks about your rental and wants to see it this week. The reply you send, the confirmation, and the reminder the day before decide whether they show up. These 14 messages cover the whole path: answering the inquiry, offering times, confirming, sending the address, reminding, running late, rescheduling, and following up after the visit. They talk about the unit and the process only, never about who the home is for, and they give every applicant the same steps. Copy any message, or add all 14 to your keyboard and send them from iMessage, WhatsApp, SMS or Messenger in one tap. It works in any app.

Works in WhatsApp, iMessage, Instagram, Messenger and every other app.

Words in {{double braces}} are blanks. In the textcuts keyboard you fill them with one tap, and the names you used recently come back.

Replying to an inquiry

Still available

Essential
Hi {{name}}, thanks for asking about the apartment. It is still available. Would you like to see it this week? Tell me a day that suits you.

When to send: Soon after an inquiry arrives.

Why it works: A fast reply and a simple question about the day.

Two time options

Essential
Hello {{name}}, I can show the unit on Wednesday at five or Saturday at ten. Which would you prefer, or should I look at other times?

When to send: When the person is ready to book.

Why it works: Two options are easier to answer than an open question.

Booking the showing

Booked

Essential
You are booked, {{name}}. I will meet you at the front entrance at the time we agreed. If anything changes, text me and I will adjust.

When to send: The moment a time is agreed.

Why it works: It repeats the plan and offers flexibility.

Address and parking

Pro
{{name}}, the unit is at {{address}}. Street parking is available in front, and the entrance is the blue door on the left.

When to send: Right after booking.

Why it works: Directions in the same thread are easy to find on the day.

Reminder the day before

Essential
Quick reminder, {{name}}: your showing is tomorrow. Is the time still good?

When to send: The day before.

Why it works: A question brings a quick yes or a heads up if it changes.

Reminder on the day

Morning {{name}}, see you this afternoon. I will wait by the entrance and have the key ready.

When to send: Morning of the showing.

Why it works: It confirms you are ready, which lowers no show rates.

On the day

Running late

Sorry {{name}}, I am running ten minutes late. Please wait in front of the building and I will be there.

When to send: As soon as you know you will be late.

Why it works: An early apology and a precise delay keeps the visit alive.

At the entrance

Hi {{name}}, I am at the entrance now. If you cannot find me, text a photo of where you are standing.

When to send: When you arrive and cannot see them.

Why it works: A photo solves the meeting problem in seconds.

Missed each other

Essential
Hi {{name}}, I waited at the unit but we missed each other. Would you like to book another time? The place is still available.

When to send: Fifteen minutes after the start time.

Why it works: It is friendly and does not blame.

Moving the time

No problem, {{name}}. Which other day works for you this week?

When to send: When a prospect asks to reschedule.

Why it works: It says yes first, then asks for a day.

After the showing

Thanks for visiting

Essential
Thank you for coming by today, {{name}}. If you have questions about the unit, the lease or the application, I am glad to answer them.

When to send: Within an hour of the visit.

Why it works: It leaves the next step to them with no push.

How to apply

Pro
Here is how to apply, {{name}}: the application is online at {{link}}, and the requirements are the same for every applicant. Tell me if you get stuck.

When to send: When a prospect says they want to apply.

Why it works: Saying the requirements are the same for everyone signals fair treatment.

Second look

Glad you liked it, {{name}}. Would you like to come back for a second look, or to measure for furniture?

When to send: After a positive reaction.

Why it works: It gives a practical reason to return.

Unit is rented

Hi {{name}}, thank you for your interest. The unit is no longer available. I may have another listing soon and can message you when it is ready, if you would like.

When to send: When the unit is taken.

Why it works: A clear no with a kind offer keeps the contact.

Do not say

  • Describing who the unit suits ("ideal for a couple", "great for singles", "no kids").

Instead: Describe the unit: bedrooms, light, laundry, distance to transit.

    Source

  • Asking applicants about family, religion, origin, disability or marital status.

Instead: Ask every applicant for the same information.

    Source

  • Telling a prospect which area or building "fits" them.

Instead: Share the same facts about the unit and the building with everyone.

    Source

  • Quoting different rent or terms to different people.

Instead: Quote the posted rent and terms to everyone.

  • "Someone else is about to sign, decide now."

Instead: State the real status of the unit.

  • Meeting a stranger alone at an empty unit without telling anyone.

Instead: Meet at the entrance, and tell a colleague your schedule.

  • Texting a number you took from a list or an ad.

Instead: Reply to people who contacted you, and honor a request to stop.

Frequently asked questions

What should I say when someone asks about an apartment?

Confirm that it is available, give the key facts about the unit, and offer two times. The Still available and Two time options templates do exactly that.

How do I keep my messages fair housing safe?

Describe the property and the process only: bedrooms, light, laundry, transit, application steps. Never describe who would fit, and ask every applicant the same questions. The Fair Housing Act reaches advertising and communication, and state and local laws can add more protected groups.

Do these work on the free plan?

Yes, for most of them. 12 of the 14 templates use a single blank, which fills in on the free plan. The other 2 use two blanks, and filling both from the keyboard needs Pro, although you can still copy them from this page. Free holds 8 textcuts and 1 folder, so the six essentials fit comfortably. Importing all 14 also works, because imports are never blocked and nothing is deleted.

Can I send these on WhatsApp, iMessage or SMS?

Yes. textcuts is a keyboard, so the templates work in every app where you type: iMessage, WhatsApp, SMS, Messenger, Instagram and email. Use the app your tenant already answers in. Reply in the app the person used to contact you.

How far ahead should I confirm a showing?

Confirm the moment you agree, remind the day before, and send a short note on the morning of the visit. That sequence cuts no shows without nagging.
