Late rent text messages: 14 polite templates that get a reply

The first of the month came and went, and one payment is still missing. What you write next decides whether the tenant calls you or goes quiet. These 14 messages state the facts, ask for a date, and leave out threats, shame and pressure. They cover the first check, partial payments, payment plans, questions about the late fee, and the thank you when the balance is cleared. Late fees and notices always follow your lease and your state's rules, so the texts point to those instead of making new ones up. Copy any message, or add all 14 to your keyboard and send them from iMessage, WhatsApp, SMS or Messenger in one tap. It works in any app.

Words in {{double braces}} are blanks. In the textcuts keyboard you fill them with one tap, and the names you used recently come back.

First contact about a missed payment

Rent not received

Essential
Hi {{name}}, I have not seen this month's rent come through yet. Did the payment go out? If something is in the way, let me know and we will work it out.

When to send: Two or three days after the due date.

Why it works: It asks a question instead of making a claim, and offers help.

The day after

Morning {{name}}, a quick check on rent. It was due yesterday and I do not see it yet. It may just be a delay at the bank.

When to send: The first day after the due date, if your lease has no grace period.

Why it works: It gives them a face saving reason to answer.

Asking for a date

Essential
Thanks for letting me know, {{name}}. Can you tell me the day I should expect the payment? A date helps me plan on my end.

When to send: When a tenant says payment will be late.

Why it works: A date turns a worry into a plan.

Payment may be lost

{{name}}, I found a payment that may have gone to the wrong account. Can you send me a screenshot of the confirmation so I can trace it?

When to send: When the tenant says they paid and you cannot see it.

Why it works: It assumes the tenant is honest and asks for proof as a normal step.

Offering a talk

Essential
Hello {{name}}, if this month is tight, I would rather talk than guess. Do you have ten minutes by phone today or tomorrow?

When to send: When rent is late and the tenant has gone quiet.

Why it works: A call invitation sounds humane and often ends the silence.

Partial payment and plans

Partial payment received

Pro
Hi {{name}}, I received {{price}} today, thank you. The rest of this month's rent is still open. When can I expect it?

When to send: The day a partial payment arrives.

Why it works: It thanks first, then asks about the rest.

Putting a plan in writing

Essential
Let's put it in writing, {{name}}. I can send a short agreement with the dates you suggest, for you to read and sign. Which dates work for you?

When to send: After you both agree to pay in parts.

Why it works: Their dates, not yours, make the plan more likely to hold.

Confirming the plan

Pro
Just confirming what we agreed, {{name}}: the remaining rent comes in on {{date}}. I will note it in the file. Message me if anything changes before then.

When to send: Right after a plan is agreed.

Why it works: A written recap protects both of you.

Late fee questions

The late fee clause

Essential
Hi {{name}}, you asked about the late fee. It comes from the lease you signed, and I am happy to show you the clause. I will send the page in a moment.

When to send: When a tenant asks why a fee was added.

Why it works: Pointing to the lease keeps it about the document, not about you.

A one time waiver

{{name}}, thank you for talking this through. This once, I will waive the late fee, as long as the rent arrives by the date we agreed. I will put it in writing too.

When to send: When you choose to waive a fee.

Why it works: It sets a clear condition and says it will be written down.

Formal notice on the way

{{name}}, I want you to hear this from me first. Because rent is still open, a written notice is on its way, as the lease and state rules require. It is a formal step, and I am still glad to talk.

When to send: Before you send a required written notice.

Why it works: It warns the tenant kindly and keeps the door open.

Resolved or still quiet

Paid and up to date

Essential
Received, {{name}}, thank you. Your account is up to date.

When to send: The day the balance is cleared.

Why it works: Closing the loop clearly lets the tenant relax.

Thanks for being upfront

I appreciate you being upfront, {{name}}. It makes this much easier to solve than silence would.

When to send: After a tenant admits a problem.

Why it works: It rewards honesty, so the next conversation is easier.

No reply for days

Hi {{name}}, I have tried to reach you a few times about this month's rent. Please call or text me when you see this, even with a short update.

When to send: After several days of no answer.

Why it works: It asks for the smallest possible reply.

Do not say

  • Threats of eviction, credit damage or court in a text.

Instead: Ask for a date. Notices follow your lease and state law, in the form the law requires.

  • Texting at night, or many times a day.

Instead: One message in daytime hours, then wait. Restraint is the rule collectors follow, and it is a good one for landlords too.

    Source

  • Telling a neighbor, coworker or relative about the debt.

Instead: Speak only with the tenant and the people on the lease.

    Source

  • Shaming words such as deadbeat or irresponsible.

Instead: State the fact: rent was due on the first and has not arrived.

  • Adding fees that are not in your lease.

Instead: Quote the lease clause and stay within your state's limits.

  • Treating one tenant differently from the rest.

Instead: Use the same steps and the same wording for every tenant, which also keeps you in line with fair housing law.

    Source

  • Waiving a fee by text and charging it later.

Instead: Confirm any waiver in writing, with the condition.

  • Asking about a tenant's job, health or family to judge their excuse.

Instead: Ask for a date or a plan, nothing more.

Frequently asked questions

Can I text a tenant about late rent?

Generally yes, if the tenant gave you their number or your lease allows notices by text. Keep texts to daytime hours, one message at a time. Formal notices follow your lease and state law, and may need to be written or delivered in a set way.

Does the debt collection law apply to me?

The Fair Debt Collection Practices Act mainly covers outside collectors, such as agencies and attorneys, and is generally read as not covering a landlord collecting their own rent. Sources disagree about property managers, and states add their own rules. These templates follow the same restraint to be safe. This is general information, not legal advice.

When should I send the first late rent message?

After the grace period in your lease ends, or the day after the due date if there is none. The Rent not received template works for a first message two or three days in.

Do these work on the free plan?

Yes, for most of them. 12 of the 14 templates use a single blank, which fills in on the free plan. The other 2 use two blanks, and filling both from the keyboard needs Pro, although you can still copy them from this page. Free holds 8 textcuts and 1 folder, so the six essentials fit comfortably. Importing all 14 also works, because imports are never blocked and nothing is deleted.

Can I send these on WhatsApp, iMessage or SMS?

Yes. textcuts is a keyboard, so the templates work in every app where you type: iMessage, WhatsApp, SMS, Messenger, Instagram and email. Use the app your tenant already answers in. For anything that needs a record, use email as well.
