Inspection notice texts for tenants: 14 templates

You need to walk through a unit to check the alarms, look at a leak or change a filter. Entering someone's home is a sensitive moment, and the rules about notice depend on your lease and your state. These 14 messages help you plan the visit, give notice, remind the day before, move the time when it does not suit, and report back afterwards. They support the written notice your lease may require, they do not replace it. Copy any message, or add all 14 to your keyboard and send them from iMessage, WhatsApp, SMS or Messenger in one tap. It works in any app.

Planning the visit

Heads up about an inspection

Essential
Hi {{name}}, I would like to schedule the annual walk through of your unit. A written notice will follow, as the lease asks. Do you prefer weekday mornings or afternoons?

When to send: Two or three weeks ahead of a routine visit.

Why it works: Asking about their preference first makes it a shared plan.

Request to come in

Essential
Thanks for the request, {{name}}. May I come in tomorrow between ten and twelve to look at the leak? A reply of yes is enough.

When to send: When a repair needs access soon.

Why it works: A specific window and a yes or no question are easy to answer.

Filter change visit

{{name}}, the air filter swap is this week. It takes ten minutes. Tell me which day suits you and I will fit around you.

When to send: Before routine maintenance visits.

Why it works: It offers the choice of day, which tenants appreciate.

Notice and reminders

Notice of entry

Pro
Hello {{name}}, this is notice that I will enter the unit on {{date}} to check the smoke alarms and plumbing. It will take about twenty minutes. Please text me if the time is a problem.

When to send: In the notice period your lease and state require.

Why it works: It states the date, the reason and the length of the visit.

Reminder the day before

Essential
Reminder, {{name}}: the inspection is tomorrow. Someone will knock before coming in. You are welcome to be home.

When to send: The day before the visit.

Why it works: Knocking first and a welcome to be present respects their space.

Showing to a future tenant

Pro
Hello {{name}}, the unit will be shown to a possible new tenant on {{day}}. I will give you the exact time a day ahead. Please let me know if a day is hard for you.

When to send: Late in a lease that is not renewing.

Why it works: It warns early and asks about conflicts.

When the day does not suit

Not convenient

Essential
Thanks for telling me, {{name}}. We can move it. Which day this week would suit you better?

When to send: When the tenant asks to change the time.

Why it works: Saying yes quickly builds goodwill that you will need later.

Access while away

{{name}}, you mentioned you will be away on the visit date. Are you happy for the contractor to enter with me while you are out? Please reply yes or no.

When to send: When the tenant will not be home.

Why it works: It gets a clear answer on entry in writing.

During and after the visit

On my way

On my way now, {{name}}, and I will be there in about ten minutes.

When to send: When you leave for the unit.

Why it works: A heads up prevents surprise at the door.

Visit done

Essential
All done, {{name}}. Everything looked fine on my side, and I left the door locked behind me. Thank you for making it easy.

When to send: When you leave.

Why it works: It confirms the door and the outcome in one line.

A small issue found

Essential
Hi {{name}}, during the visit I noticed a loose handrail on the back steps. I will book someone to fix it and send you the day.

When to send: When you spot something that needs repair.

Why it works: You tell the tenant what you saw and what you will do.

Smoke alarm battery

Hello {{name}}, the walk through showed a smoke alarm with no battery. Please replace it this week, or tell me and I will do it. It matters for everyone in the building.

When to send: When a safety item is the tenant's to maintain.

Why it works: It gives them the choice and states why it matters.

Inspection notes

{{name}}, you asked for a copy of the inspection notes. I am sending them to your email now. Let me know if anything looks different from what you remember.

When to send: When a tenant asks for the record.

Why it works: Sharing the notes openly keeps disputes small.

Move out walk through

Hi {{name}}, before you move out, we can do a walk through together so you know what I will look at. Would you like that? Pick a day that suits you.

When to send: When a tenant gives notice to leave.

Why it works: Offering to walk through together makes the end of the lease calmer.

Frequently asked questions

How much notice must I give before entering?

There is no single national rule. Many states ask for 24 to 48 hours, some say reasonable notice, and emergencies are the usual exception. Check your lease and your state's statute, and use these texts as a reminder next to any written notice that is required.

Can a tenant refuse an inspection?

A tenant can ask to move the time, and you should agree when it is reasonable. What happens beyond that depends on the lease and state law, so ask a local professional if a tenant keeps refusing.

Do these work on the free plan?

Yes, for most of them. 12 of the 14 templates use a single blank, which fills in on the free plan. The other 2 use two blanks, and filling both from the keyboard needs Pro, although you can still copy them from this page. Free holds 8 textcuts and 1 folder, so the six essentials fit comfortably. Importing all 14 also works, because imports are never blocked and nothing is deleted.

Can I send these on WhatsApp, iMessage or SMS?

Yes. textcuts is a keyboard, so the templates work in every app where you type: iMessage, WhatsApp, SMS, Messenger, Instagram and email. Use the app your tenant already answers in.

Does a text count as legal notice?

Sometimes, sometimes not. Many leases and states ask for written notice delivered in a particular way. Ask your lease or a local professional, and keep the text as a friendly reminder.
