Lease renewal texts for landlords: 15 templates

A good tenant's lease ends in three months, and you would like them to stay. Waiting for a letter to do the job costs you weeks of vacancy. These 15 messages cover the whole renewal: the early heads up, the offer, the new rent, the month to month option, the reminder to sign, and the kind goodbye if they are leaving. Rent changes and notices follow your lease and state law, so the texts say a notice is coming and never replace it. Copy any message, or add all 15 to your keyboard and send them from iMessage, WhatsApp, SMS or Messenger in one tap. It works in any app.

Words in {{double braces}} are blanks. In the textcuts keyboard you fill them with one tap, and the names you used recently come back.

Early heads up

Three months ahead

Essential
Hi {{name}}, your lease ends in about three months. I would be glad to have you stay. I will send renewal options soon, and you can tell me what you are thinking in the meantime.

When to send: Ninety days before the lease ends.

Why it works: It opens the door early and puts no pressure on a decision.

Do you plan to stay

Essential
Morning {{name}}, are you planning to stay when the lease ends? A quick yes, no or not sure helps me plan.

When to send: About eighty days before the end.

Why it works: Three easy answers make a reply more likely.

The renewal offer

Offer sent

Essential
{{name}}, I have emailed the renewal offer. It has the new term and the monthly rent. Take your time reading it, and message me with any question.

When to send: The day you send the offer.

Why it works: It tells them where to find it and invites questions.

New rent amount

Pro
Hello {{name}}, for the new term, rent would be {{price}} per month. The written notice will follow, as the lease and state law require. Happy to talk it through.

When to send: When rent changes, alongside the written notice.

Why it works: It says the number plainly and does not hide behind a letter.

Rent stays the same

Good news, {{name}}: rent stays the same for the next term. I just need your signature on the renewal by the end of the month.

When to send: When you are not changing the rent.

Why it works: A good surprise makes the signature easy.

Month to month option

{{name}}, if a full term does not suit you, we can also go month to month. The rent is a little different, and I can explain how. Which option would you prefer?

When to send: When a tenant is unsure about a long term.

Why it works: It offers a real choice and asks which they want.

Questions and changes

Asked for lower rent

Thanks for asking, {{name}}. I will look at the numbers and give you an answer by Friday. I cannot promise a change, but I will take it seriously.

When to send: When a tenant negotiates.

Why it works: It is honest and gives a date for the answer.

Repairs before renewing

Hi {{name}}, before the new term starts, is there anything in the unit you would like me to look at? Send me a list and I will go through it.

When to send: Alongside the renewal offer.

Why it works: It shows you care about the home, not only the paperwork.

Decision and paperwork

Signature reminder

Essential
A reminder, {{name}}: the renewal paperwork is still waiting for your signature. Do you need me to resend it?

When to send: A week after sending the offer.

Why it works: It assumes a missing step, not a missing wish to stay.

Offer closing date

Pro
Hello {{name}}, the renewal offer is open until {{date}}. After that I will need to plan for the unit. Please tell me what you decide.

When to send: A week before the offer closes.

Why it works: A real date is fair, and the reason is honest.

No reply yet

Hi {{name}}, I have not heard back about the lease. Could you tell me this week if you plan to renew? Either answer is fine, I just need to know.

When to send: After a reminder goes unanswered.

Why it works: Saying either answer is fine takes the tension out.

Signed and received

Essential
Received, {{name}}. Your renewal is complete, and I will send you a copy for your files. Thank you for staying.

When to send: The day the signed lease arrives.

Why it works: It confirms the paperwork and says thank you.

If they are leaving

Tenant is leaving

Essential
Thank you for telling me, {{name}}. I will send move out instructions and the date for the final walk through. Is there a forwarding address I should have for your deposit?

When to send: When a tenant says they will not renew.

Why it works: It moves to the next step kindly and asks for what you need.

Thank you for your tenancy

{{name}}, thank you for the care you took with the unit these past years. If you ever need a reference, just ask.

When to send: In the last weeks of a long tenancy.

Why it works: A reference offer is generous and costs you little.

After a rough patch

Thanks for the way we worked this out, {{name}}. I am glad to offer you a new term. A fresh start sounds good to me.

When to send: When you renew after a late payment problem.

Why it works: It acknowledges the past without bringing it up again.

Do not say

  • Raising the rent by text alone.

Instead: Say a written notice is coming, and send it in the form your lease and state law require.

  • Hinting that renewal depends on repair requests or complaints.

Instead: Keep renewal terms separate from maintenance and complaints.

  • Offering different terms by family, religion, origin or other protected traits.

Instead: Offer the same terms to tenants in the same situation.

    Source

  • "Sign today or lose the unit."

Instead: Give the real closing date and stick to it.

  • Asking about the household, plans for children or marriage.

Instead: Ask only whether they want to renew and whether the lease details are right.

    Source

  • Treating silence as a yes.

Instead: Ask for the answer in writing before the offer closes.

Frequently asked questions

When should I send a lease renewal message?

Many leases ask for notice 60 to 90 days before the end, so the first message goes out about three months ahead. Check your lease and state law for the exact period.

Can I raise the rent in a text?

Use the text to say a change is coming and what it is, then send the written notice your lease and state law require. Never rely on a text alone for a rent increase.

Do these work on the free plan?

Yes, for most of them. 13 of the 15 templates use a single blank, which fills in on the free plan. The other 2 use two blanks, and filling both from the keyboard needs Pro, although you can still copy them from this page. Free holds 8 textcuts and 1 folder, so the six essentials fit comfortably. Importing all 15 also works, because imports are never blocked and nothing is deleted.

Can I send these on WhatsApp, iMessage or SMS?

Yes. textcuts is a keyboard, so the templates work in every app where you type: iMessage, WhatsApp, SMS, Messenger, Instagram and email. Use the app your tenant already answers in.

What if the tenant says no?

Thank them, ask for a forwarding address, and send move out steps. The Tenant is leaving template does all three, and the Thank you for your tenancy one leaves a good last impression.
