Rent reminder text messages: 14 templates that stay friendly

It is the last week of the month and a few rents are not in yet. A reminder should feel like a nudge from someone the tenant knows, not a notice taped to a door. These 14 messages cover the days before rent is due, the due day itself, a change in how tenants pay, and the thank you when it arrives. Each one is short, polite and sticks to the facts, so it suits a landlord with two units or a manager with a full building. Copy any message, or add all 14 to your keyboard and send them from iMessage, WhatsApp, SMS or Messenger in one tap. It works in any app.

Words in {{double braces}} are blanks. In the textcuts keyboard you fill them with one tap, and the names you used recently come back.

Before the due date

Friendly heads up

Essential
Hi {{name}}, a friendly heads up that rent is due on the first. Nothing has changed on my side, and the payment details are the same as last month. Reply here if you have a question.

When to send: A few days before the first of the month.

Why it works: It sounds like a neighbor, not a notice, and it invites a reply.

Five days out

Morning {{name}}. Rent is due in five days. If your paycheck lands late or something came up, tell me now and we can talk it through before the due date.

When to send: Five days before rent is due.

Why it works: Giving them time to speak up early keeps small problems small.

Due tomorrow

Essential
{{name}}, just a note that rent is due tomorrow. If you have already paid, thank you, and please ignore this.

When to send: The day before the due date.

Why it works: The last line stops anyone who paid from feeling nagged.

Reminder with the amount

Pro
Hello {{name}}, your rent of {{price}} is due this week. You can pay the usual way. Let me know if you need anything from me first.

When to send: When the amount changed or the tenant asked for it.

Why it works: Naming the amount removes one reason to write back and ask.

On the due day

Due today

Essential
Good morning {{name}}. Rent is due today. Thanks for taking care of it when you can.

When to send: Morning of the due date.

Why it works: Short, calm and without a hint of blame.

Due today with a link

Pro
Hi {{name}}, rent is due today. Here is the payment page: {{link}}. It takes about a minute, and a receipt goes to your email.

When to send: Due day, for tenants who pay online.

Why it works: A link in the same message saves them a search.

Weekend due date

Essential
{{name}}, rent falls on a Saturday this month. Banks can take until Monday to post a payment, so paying on Friday is the safest way to be on time.

When to send: When the first lands on a weekend or holiday.

Why it works: It explains the practical reason, so it reads as help.

First rent after move in

Essential
Hello {{name}}, this will be your first rent payment with us, due on the first. The steps are in your welcome folder. If anything is unclear, ask me and I will walk you through it.

When to send: A week before a new tenant's first due date.

Why it works: New tenants worry about getting it wrong, and this settles it.

When the way to pay changes

New online portal

Hi {{name}}, from next month rent will be collected through a new online portal. I will send the sign up link in a separate message. Your due date and amount stay the same.

When to send: When you switch payment system.

Why it works: It says what changes and what does not in three sentences.

Offer of autopay

{{name}}, if you would like to stop thinking about rent each month, I can set you up on automatic payments. It takes five minutes. Want me to send the instructions?

When to send: After a tenant has paid on time for a few months.

Why it works: It offers a convenience and leaves the decision to them.

Office address changed

Pro
Hi {{name}}, our office has moved, so checks now go to {{address}}. Please use it from this month. If you pay online, nothing changes for you.

When to send: When mailed payments must go somewhere new.

Why it works: The last sentence tells online payers to relax.

After payment

Payment received

Essential
Got it, {{name}}, your rent has come through. Thank you, and have a good month.

When to send: As soon as the payment shows.

Why it works: Confirming quickly shows you notice and appreciate on time payment.

Receipt sent

Hi {{name}}, I have emailed your receipt for this month. If it does not show up in a few minutes, check your spam folder and tell me.

When to send: After you issue the receipt.

Why it works: It saves a follow up question later in the year.

Thanks for paying early

Thanks for paying early again, {{name}}. It makes my month easier, and I notice it.

When to send: When a tenant keeps paying before the due date.

Why it works: Praise for a good habit keeps the habit going.

Do not say

  • "Rent is late again. This is the last time."

Instead: Rent was due on the first and I do not see it yet. When should I expect it?

  • Pay today or I will start the eviction process, sent as a reminder.

Instead: Ask for a date. Notices about ending a tenancy follow your lease and state law, in the written form the law requires, never as a text.

  • Texting at night, or several times a day.

Instead: One message in daytime hours, then wait for the reply.

    Source

  • Naming one tenant in a group message or a building wide chat.

Instead: Send every reminder one on one.

  • Asking why money is short (job, health, family).

Instead: Ask only for the date you can expect the payment.

    Source

  • Changing where to pay by text alone ("send it to this new account").

Instead: Confirm any change in writing from the address on the lease, so a tenant can check it is really you.

Frequently asked questions

How often should I send a rent reminder?

Two is enough for most tenants: one a few days before the due date and one on the day. Tenants who always pay on time may only need the thank you. Sending more than that can feel like pressure.

Do these work on the free plan?

Yes, for most of them. 11 of the 14 templates use a single blank, which fills in on the free plan. The other 3 use two blanks, and filling both from the keyboard needs Pro, although you can still copy them from this page. Free holds 8 textcuts and 1 folder, so the six essentials fit comfortably. Importing all 14 also works, because imports are never blocked and nothing is deleted.

Can I send these on WhatsApp, iMessage or SMS?

Yes. textcuts is a keyboard, so the templates work in every app where you type: iMessage, WhatsApp, SMS, Messenger, Instagram and email. Use the app your tenant already answers in.

Should a rent reminder include the amount?

Only when the amount changed or the tenant asked. The amount is already in the lease, and repeating it every month can read as distrust. When you do include it, the Reminder with the amount template has a blank for it.

Is it fine to text rent reminders at all?

For tenants who gave you their number and agreed to be contacted by text, yes. Check what your lease says about notices, since formal notices often need to be written or delivered a certain way, and use texts for friendly reminders.
