UGC delivery and approval messages: 15 templates

You agreed to make a video for a brand, and now comes the part where jobs go wrong: unclear briefs, late products, endless edits and silence after you deliver. These messages keep the work moving. They confirm the brief in your own words, ask for what you need to start, hand over files with clear next steps, set the limit on revisions, remind the brand about usage rights, and ask for approval so you can invoice. Copy any of them, or add all 15 to your keyboard and send them from WhatsApp, Instagram, email apps or any other app in one tap.

Works in WhatsApp, iMessage, Instagram, Messenger and every other app.

Words in {{double braces}} are blanks. In the textcuts keyboard you fill them with one tap, and the names you used recently come back.

Before filming

Confirming the brief

Essential
I read the brief and here is my understanding: three videos, vertical, about thirty seconds each, due {{date}}. Is that right?

When to send: As soon as the brief arrives.

Why it works: Writing it back catches mistakes before filming.

I need the product

To start filming I need the product. Could you ship it to {{address}}? Tracking details would help me plan my week.

When to send: After the agreement is signed.

Why it works: It asks for what blocks you and shows the date you need it by.

Script or my own words

Can I use my own words in the video, {{name}}, or do you need set lines? Natural usually works better, but I will follow your guide.

When to send: When the brief mentions a script.

Why it works: It protects the style while staying flexible.

Raw footage

Do you want raw clips as well as the edited video, {{name}}? Raw files take extra time, so I would quote them separately.

When to send: When raw footage is mentioned.

Why it works: Extras get priced before they are expected.

Product is late

I am still waiting on the product, {{name}}, so the delivery date moves with it. Once it arrives I will film right away.

When to send: When the shipment is delayed.

Why it works: It explains the delay without blame.

Delivery

Your video is ready

Essential
Your video is ready. Here is the download link: {{link}}. It includes the final cut and captions. Please tell me if the file opens fine.

When to send: The day you finish.

Why it works: It tells them what is inside and asks for one confirmation.

Folder contents

The folder is shared: {{link}}. Inside you will find the final video, a version with captions, a version without text and the thumbnail.

When to send: When you deliver several files.

Why it works: They can see what they got without opening everything.

Waiting for approval

A friendly note that the video is waiting for your approval, {{name}}. Once you confirm, I can send the invoice.

When to send: Three days after delivery.

Why it works: It links approval to the next step.

When to post

Pro
When would you like me to post, {{name}}? I can go live on {{date}} unless you prefer another day.

When to send: When you also publish the video.

Why it works: It asks them to choose, with a default ready.

Revisions, rights and approval

Taking the notes

Essential
Thanks for the notes. I will make those changes and send a new version by {{day}}. One round of edits is included in my fee.

When to send: When the brand asks for changes.

Why it works: It accepts feedback and states the limit.

Extra round

Pro
That is a new direction from the brief, {{name}}, so it counts as an extra round. I can do it for {{price}} if you would like.

When to send: When requests go beyond the brief.

Why it works: It names the limit without drama.

Usage rights reminder

Essential
As agreed, the video can be used on your channels for {{count}} months. If you want to run it longer or as an ad, let me know and I will send a quote.

When to send: With the final files.

Why it works: Rights are best repeated at delivery.

Approved, thank you

Essential
Wonderful, thank you for approving it, {{name}}. I will send the invoice today. It was a pleasure working with you.

When to send: When they sign off.

Why it works: It leads straight to payment.

Invoice with delivery

EssentialPro
The invoice is attached, {{name}}. Payment is due {{date}}. Tell me if you need anything extra for your records.

When to send: With or right after approval.

Why it works: It keeps delivery and payment together.

The next batch

If the video worked well for you, {{name}}, I would love to make the next batch. Shall I put an idea together?

When to send: After approval and payment.

Why it works: A natural time to ask for repeat work.

Do not say

  • Starting without a written brief.

Instead: Send your understanding of the brief and wait for a yes.

  • Unlimited revisions.

Instead: State how many rounds the fee includes.

  • Saying a product works in ways you have not seen. The FTC says endorsements must reflect your honest experience.

Instead: Describe only what you did and saw.

    Source

  • Delivering with no discussion of rights.

Instead: Name where the video can be used and for how long.

  • Posting a gifted product video without a label. The FTC says free products count as a material connection.

Instead: Add a clear label or note to the brand that it must.

    Source

  • Sending files in a format that will not open.

Instead: Ask them to confirm the file opens.

  • Waiting weeks for approval before you invoice.

Instead: Send a nudge after three days.

Works in WhatsApp, iMessage, Instagram, Messenger and every other app.

Frequently asked questions

How many revisions should I include?

Most creators include one round and quote more. Say this in your first message about the fee and again when you deliver.

Should I send raw footage?

Only if it was agreed. Raw files take extra time and give away more of your work, so quote them separately.

When do I invoice a UGC job?

After the brand approves the video, or on the date in your agreement. If you took half upfront, invoice the rest at delivery.

Do these templates work on the free plan?

Yes. 12 of the 15 use a single blank, which fills in on the free plan. "When to post", "Extra round" and "Invoice with delivery" use two blanks, so filling both from the keyboard needs Pro. Free holds 8 textcuts and 1 folder, so the six essentials fit comfortably, and importing all 15 is never blocked.

Can I use these in WhatsApp, Instagram and email?

Yes. textcuts is a keyboard, so the templates work in every app where you type.
