Car dealership appointment confirmation texts: 13 templates

You booked a visit, and now the hard part is getting the person through the door. Reminders cut no shows when they are short, friendly and easy to answer. These 13 messages cover confirming the booking, what to bring, the day before and morning of reminders, directions, a request to reschedule, a running late reply and the text after a no show. They are for people who gave you their number to arrange the visit. Copy any message, or add all 13 to your keyboard and send them in one tap. It works in any app, including iMessage, WhatsApp, Messenger and SMS.

Works in WhatsApp, iMessage, Instagram, Messenger and every other app.

Words in {{double braces}} are blanks. In the textcuts keyboard you fill them with one tap, and the names you used recently come back.

Booking

Confirming the booking

Essential
Hello, I have you down for {{time}} tomorrow. I'll meet you at the front desk with the car ready. Text me if anything changes.

When to send: Right after the appointment is made.

Why it works: It states the time, the place and how to change it in three short sentences.

What to bring

Essential
{{name}}, to save you time, bring your driver's license and, if you plan to buy, proof of insurance. Everything else we can handle here.

When to send: The day before or when you book.

Why it works: It removes the reasons a visit turns into a second visit.

Directions

Here's where to find us: {{address}}. There's customer parking right by the main door. Call me if you get lost.

When to send: When they ask, or the day before.

Why it works: One address and one tip for parking is all they need.

Test drive route

{{name}}, I plan a drive that includes city streets and a stretch of highway. Tell me if you want somewhere specific, like your usual commute.

When to send: When you book a test drive.

Why it works: Letting them choose the route makes the drive about their life.

Reminders

Day before

Hi {{name}}, a friendly reminder that I'm expecting you tomorrow. If something came up, reply here and we'll find another time.

When to send: The afternoon before.

Why it works: It gives them an easy way to cancel, which is better than a silent no show.

Morning of

Good morning {{name}}. Today's the day. The car is ready out front. Park anywhere and ask for me at the front desk.

When to send: Morning of the appointment.

Why it works: Short, practical and warm.

Bad weather

EssentialPro
Hi {{name}}, the forecast looks rough for {{day}}. We can still do the visit, or move it. Your call, and the car will wait either way.

When to send: When weather threatens the visit.

Why it works: Offering the choice shows care and keeps the appointment alive.

Confirm who is coming

Will anyone be coming with you, {{name}}? If so, I'll make sure we have room to sit down and go through everything together.

When to send: A day before.

Why it works: It prepares you and signals that other people are welcome.

Changes

Reschedule request

Essential
No problem at all, {{name}}. Things come up. Which day would suit you better? I'll move the car and keep the time for you.

When to send: When they cancel.

Why it works: It removes any guilt and gets a new time in the same reply.

Running late

Thanks for letting me know, {{name}}. I'll be here, take your time. Drive safely.

When to send: When they text that they are late.

Why it works: Calm and kind, no pressure to hurry.

You need to move it

Essential

When to send: When something comes up on your side.

Why it works: Own the change, offer one option and leave the door open.

After

No show

Do not say

  • Texting a number that never agreed to hear from you, or one from a bought list.

Instead: Text only people who gave you their number and agreed to hear from you. Type each message yourself, and stop the moment they ask. In the US, texting rules (TCPA) require consent.

  • Texting numbers that did not give you their number for an appointment.

Instead: Send reminders only to people who booked with you, and stop if they ask.

  • "You must come today" or "The offer ends tonight" in a reminder.

Instead: Say what is ready and when, and nothing else.

  • Guilt after a no show ("I waited all day").

Instead: Ask if everything is okay and offer another time.

  • "Guaranteed financing", "everyone approved" or "no credit needed".

Instead: Say you will review their options together and that approval depends on the lender.

  • Copy pasted pitches that open with "Hey buddy" or ignore what the person told you.

Instead: Start with their name and one detail from your conversation.

  • Fake urgency ("only one left", "another buyer is coming") when it is not true.

Instead: Say what is true: where the car is and what is ready.

  • A price or monthly payment you cannot honor.

Instead: Send the full written figure, with taxes and fees, or invite them in.

Frequently asked questions

How many reminders should I send?

One the day before and one the morning of is enough. More than that feels like pressure.

What if they do not answer the reminder?

Keep the car ready, wait a reasonable time, and then send the no show message once.

Do these work on the free plan?

Yes, 12 of the 13 use one blank and work fully on the free plan, which allows 8 textcuts, 1 folder and 1 blank per textcut. The other 1 use two blanks, so filling both from the keyboard needs Pro. You can always copy any message and type the second detail by hand.

Is it okay to text customers, and what about opt out?

Text people who gave you their number and agreed to be contacted, one message at a time. Tell new contacts how to stop, for example "tell me if you'd rather not get texts", and honor any stop request right away. Never text bought lists.

Does it work in WhatsApp, iMessage and other apps?

Yes. The textcuts keyboard works in any app where you type: iMessage, WhatsApp, Facebook Messenger, Instagram, SMS and email.
